Short answer: A good subscription tracker spreadsheet has columns for service, amount, currency, billing cycle, monthly equivalent, next renewal date, payment method and notes. Download the free CSV template below and open it in Excel or Google Sheets.

The fastest way to get control of your subscriptions is to see them all in one table. Here is a ready-made template, the formulas you need and an honest look at where spreadsheets fall short.

Monthly equivalent formula

With the amount in column C and the cycle in column E, use:

=IF(E2="Yearly",C2/12,IF(E2="Weekly",C2*52/12,C2))

Add =SUM(F2:F50) under the column for your monthly total and multiply it by 12 for an annual estimate. If you would rather skip formulas, the free subscription cost calculator does the same math in your browser.

4 rules for a spreadsheet that stays useful

  1. Keep one currency per total. Don’t add dollars and euros directly; convert at the start of each month or total them separately.
  2. Sort by next renewal. Upcoming payments belong at the top.
  3. Use conditional formatting. Highlight rows renewing within 7 days.
  4. Reconcile monthly. Compare with your card statement to catch anything missing.

Where spreadsheets fall short

A spreadsheet is flexible, but it never reminds you. You have to remember the renewal date, open the file and keep it current. An app is usually more practical if:

  • you have more than five active subscriptions,
  • you often start free trials,
  • you want a notification on your phone before renewals,
  • you pay in more than one currency.

The Leakpin subscription tracker app keeps the same fields on your phone (service, amount, cycle and renewal date) and adds monthly totals, annual estimates and optional reminders. No bank connection required. See how it works in the live demo.

Frequently asked questions

Should I use Excel or Google Sheets for tracking subscriptions?

Either works. Google Sheets is handy if you check it from your phone; Excel is fine if you prefer working offline. The template opens in both.

How do I track subscriptions in different currencies?

Keep currency in its own column and total each currency separately, or convert everything to one currency at the start of the month.
